Praxbook ("we", "us", "our") operates this website and the booking platform at praxbook.com (the "Service"). This policy explains how we collect, use, and protect your personal data. Your privacy is important to us.
What data we collect
On the waitlist page (praxbook.com)
When you sign up for the waitlist, we collect:
- Your email address
- Your practice type (optional)
This information is stored in our email service provider (currently Brevo) and used only to send you launch announcements and the founding-member offer.
On the booking platform
The Praxbook booking platform (app.praxbook.com) collects data as necessary to deliver appointment scheduling:
- Appointment details (date, time, location)
- Patient name, email, phone
- Answers to the practitioner's intake questionnaire
- Appointment history and status changes (booked, cancelled, rescheduled)
Platform accounts are created automatically when you book an appointment, or you can create one directly.
Why we collect it
- Waitlist: to notify you of our launch and the founding-member offer
- Appointments: to manage your booking, send confirmations, and let you reschedule or cancel online
- Intake forms: so the practitioner can review your answers and prepare for your appointment
- Audit trail: to keep a record of all changes to your appointment for compliance and dispute resolution
Who we share it with
Your data is never sold or shared for marketing. We share data only as necessary:
- Your practitioner: sees your name, contact details, answers, and appointment status
- Service providers: we use Brevo (email) and Cloudflare (infrastructure); these services process data only to serve the platform
- Law enforcement: only if legally required by court order
Where your data is stored
Praxbook is currently deployed in the United Kingdom (London region). Your data is stored in a UK-region database and is not transferred outside the UK unless you use the platform from a practitioner operating outside the UK.
How long we keep it
- Waitlist signups: kept until you unsubscribe or request deletion
- Appointment records: kept for 3 years after completion or cancellation for audit and legal compliance
- Account data: kept for as long as your account is active; deleted on request unless legal retention applies
Your rights
You have the right to:
- Access: request a copy of your personal data
- Correct: ask us to fix inaccurate data
- Delete: request deletion of your data (subject to legal retention requirements)
- Unsubscribe: from the waitlist or marketing emails at any time
- Portability: request your data in a portable format
- Object: to certain uses of your data

Unsubscribe from the waitlist
Every email from us includes an unsubscribe link. You can click it at any time to stop receiving messages. Once unsubscribed, we will remove your email address from our list within 7 days.
Security
We take security seriously:
- All data in transit is encrypted (HTTPS/TLS)
- Passwords are never stored in plaintext
- Access to patient data is logged for audit purposes
- Regular backups are encrypted and stored securely
No system is 100% secure; if we discover a breach, we will notify affected users within 72 hours as required by law.
Children's privacy
Praxbook is not directed at anyone under 18. If you are under 18, please have a parent or guardian review this policy and manage your account.
Changes to this policy
We may update this policy from time to time. We will post changes here and notify you via email if material changes affect how we handle your data. Continued use of the service means you accept the updated policy.
